Background
The Finance
Department is responsible for the provision of support services to the Organization
through the areas of Finance, Procurement and logistical supports to the project’s
implementation teams. The assistant accountant is a member of this team and
therefore s/he is responsible directly or indirectly to the provision of these services.
Assistant Accountant must observe the Finance Department Management Control
System, PASADA Accounting Manual and Procurement and store Procedures Manual.
Key Responsibilities and Accountabilities:
1. Maintaining proper accounting records
·
All payment vouchers
·
Supporting documentations
·
Bank statement for the projects he is
responsible
·
Check book stubs for the projects he is
responsible
·
Asset registers for the assets procured
by projects
·
Cash book of the projects he is
responsible
2. Maintain and
reconcile the following on a monthly basis
·
Bank and Cash accounts
·
Staff personal accounts for the staff
·
Creditors and suppliers against their settlements
·
Accounts against budgets
·
Funds status
3. Check and ensure all processes are in order on a periodic
basis:
·
Banking;
·
Daily cash book postings;
·
Monthly Accounts payable adjustments;
·
Payroll calculations;
·
Funds replacements/requests from donor
4. Advise Finance Manager/Senior Accountant on payment and
process of outstanding accounts receivable (requests from donors)
5. Daily posting
of all transactions of the projects
6. Produce Management report – Financial not later than 3rd
of the next month:
7. Other
duties assigned from time to time by Senior Accountant or Finance manager.
PASADA is a multi-donor
funded agency; therefore, the organization requirements depend on individual
donor requirements. Assistant Accountant is
reporting to the Senior Accountant.
Your responsibilities would include assisting with the preparation of monthly management accounts; assisting with the budgets and forecasts; accruals and prepayments; and other ad hoc tasks, liaison with the non-accounting budget holders; maintenance of the fixed asset register, month end journals; ensuring the integrity of the accounting system.
Qualification and Experience:
- Use of computer, particularly proficiency with
spreadsheet software.
- High level of accuracy.
- Extremely organized in a manner that is easily read by
others.
- Trustworthy and discreet when dealing with confidential
information.
- Diploma in Accounting/ bookkeeping.
- Experience working with donor-funded projects preferably PEPFAR/USAID projects will be highly considered
